Business terms

These terms apply when an owner or authorised staff member creates, claims or manages a business on Proactive Billboards.

1. Authority and account control

  • You must be authorised to represent, create or claim the business profile.
  • Ownership claims can require email, telephone, domain, company or documentary evidence and administrator review.
  • Owners are responsible for staff invitations and must not grant billing, ownership or verification-document access automatically.
  • Tell support promptly about disputed ownership, unauthorised access or a material change in control.

2. Accurate profiles and service coverage

Keep the trading identity, contact details, services, work types, availability, service areas and price guidance accurate. Do not create false branch locations or claim an area the business does not genuinely serve.

A private operational address can be used for distance matching. A home address is not displayed unless the owner explicitly chooses it.

3. Verification information

  • Submit only genuine, current documents you are entitled to provide.
  • Verification documents remain private and may be accessed only by authorised reviewers or for a necessary investigation.
  • Expiry, rejection or revocation can remove a public check or pause enquiries where category rules require it.
  • Do not describe a platform check as a guarantee or imply that an unchecked item was verified.

4. Plans, entitlements and fair ranking

The checkout identifies the plan price, billing period, included term, tax treatment, renewal information and entitlements. Additional areas or categories make a business eligible only where genuinely declared.

Plan price, Founding Member status, partner relationships and sponsored spend do not improve organic ranking, review score, verification status or moderation outcomes. Sponsored campaigns are separate and labelled.

5. Enquiries and messaging

  • Respond honestly about capacity, timing and indicative price information.
  • Decline unsuitable work promptly where practical and do not misuse customer contact details.
  • Start messages only through a relevant enquiry or deliberate customer contact action.
  • Respect stop-contact and block choices and do not move conversations off-platform deceptively.
  • Keep appropriate business records for any contract formed directly with the customer.

6. Reviews, posts, offers and events

Review responses and disputes must follow the review policy. Do not reward, threaten or pressure someone for a rating or reveal private customer information.

Business posts, offers and events must be accurate, relevant, rights-cleared and compliant with posting limits and moderation. Material offer terms, expiry, availability and sponsored status must be clear.

7. Billing, cancellation and refunds

Pay charges authorised at checkout and keep billing and tax details current. Cancelling a recurring renewal normally prevents the next charge rather than erasing the current paid term, subject to the purchase terms and mandatory rights.

Refunds, credits, failed payments and plan changes follow the order terms and published refund information. The platform does not store raw card details.

8. Moderation and termination

The platform can restrict visibility, enquiries, messaging, content, staff access or the business account when reasonably required for safety, fraud prevention, payment failure, verification rules or a material terms breach.

Significant action requires a reason and audit record. An appeal route is provided where the relevant policy permits it. Ending platform access does not remove records that must be retained for finance, disputes, safety or law.

9. Customer contracts and legal rights

The business, not Proactive Billboards, is responsible for its quotes, contracts, work, staff, insurance, taxes, licences, consumer obligations and payments from customers. Nothing in these terms excludes liability or rights that cannot lawfully be excluded.

10. Changes and support

The accepted version and date are recorded. Material changes are notified or presented for renewed acceptance where required.
